Job Description / Responsibility
- Administrative Duties
- The general manager’s secretary is typically charged with maintaining the general manager’s schedule, booking meetings and appointments, and serving as a gatekeeper, screening calls and prioritizing daily tasks and responsibilities. She is usually responsible for distributing meeting agendas, scheduling meetings and recording and transcribing meeting minutes. She might also handle the general manager’s personal and business correspondence, including emails and memos.
- Internal and External Communication
- A general manager’s secretary is frequently his representative outside the company. Requests for the general manager are typically funneled through the secretary, such as requests for conference calls, public speaking engagements and professional organizational activities. In small companies, the secretary might also be responsible for handling publicity and media requests and planning company parties and events.
- Additional Responsibilities
- If an organization has a board of directors or board of advisers, the general manager’s secretary is typically the liaison for these groups. Charitable requests and corporate sponsorship queries are frequently handled by the secretary, and sales calls are fielded by her as well. - Answering and channeling phone calls, arranging and reminding appointments for GM.
- Receives and screens office callers and visitors schedules and sets up appointments.
- Receives, opens, sorts all incoming mail; dispatches outgoing mail.
- Sees to proper handling, use and maintenance of office equipment and supplies; sees to cleanliness and maintenance of own area and GM’s office.
- Performs duties common to all Department Heads and other duties as may be assigned.
- Administers the distribution, filing and necessary information flow of the Duty Manager Reports.
- Establishes in co-ordination with the Resident Manager the monthly planning of the Department Heads duties.
- Personal Skills
- A general manager’s secretary must be personable and have the ability to get along with a variety of personality types. She should be able to take direction and self-motivate, as well as handle her responsibilities with little oversight.
